How to make a professional PDF invoice for free

Updated September 2026

A client-ready invoice needs three things: it has to look professional, it has to have the right fields for your tax setup, and it should make paying you as frictionless as possible. Here's how to produce one as a proper PDF, for free, in any currency.

What makes an invoice look professional

Beyond correct math, a professional invoice has consistent typography, clear separation between your details and the client's, an itemised table that's easy to scan, and totals that stand out. A spreadsheet formatted as a table rarely reads as professional — dedicated templates do.

Using the Invoice Generator

Invoice Studio has 30 templates covering different styles — consulting, design studios, SaaS billing, freelance — each with its own layout and accent colour, switchable without re-entering your data. Fill in your business details once, add line items (quantity, unit, rate, an optional SKU/code), and the totals, tax and balance due calculate automatically.

It's genuinely international: the currency isn't hard-coded, so an invoice in USD, EUR, INR or any other currency renders correctly with the right symbol and formatting, not just a label swapped on an INR layout.

GST, tax and business details

For India-specific invoicing, there's a dedicated GST/Tax preset that adds the right fields — GSTIN, tax breakdown by line or total — without you having to rebuild a template from scratch. For other regions, the tax field is flexible enough to label as VAT, sales tax or whatever applies.

Adding a QR code so clients can pay faster

An invoice with a payment QR code gets paid faster than one requiring the client to type in bank details or hunt for a payment link. Depending on your payment method, the QR code on the invoice can encode a UPI payment string (India), a PayPal.me link, or any payment URL your provider gives you — scan, and the client lands directly in their payment app with the amount pre-filled where the provider supports it.

Getting the PDF

Download uses your browser's real print engine rather than a screenshot-based export, which means the PDF matches exactly what's on screen — correct spacing, no garbled text, and clean page breaks on a multi-page invoice with a long item list.

Saving invoices for reuse

Sign in to save an invoice to your account and reload it later — useful for a recurring client where only the date and line items change each month. The free plan keeps 3 saved items total across every QR Studio tool (certificates, invoices, forms, designs combined); paid plans remove that limit.

Frequently asked questions

Is the invoice generator really free?

Yes — every template, any currency, and PDF download are free with no account. Signing in only adds the ability to save an invoice and reload it later.

Can I invoice in a currency other than INR or USD?

Yes, the currency is fully configurable, not limited to a fixed list — it renders with the correct symbol and number formatting for whatever you choose.

Does it support GST for Indian businesses?

Yes, there's a dedicated GST/Tax preset with GSTIN and tax-breakdown fields built in.

Can clients pay directly from the QR code?

If you use a UPI or PayPal.me QR code as the payment QR on the invoice, yes — scanning opens their payment app directly rather than requiring them to copy details manually.

Will my logo show up on the invoice?

Logo upload is a paid-plan feature; the free plan produces a clean invoice with a small watermark instead.
